Unaccompanied minors privacy notice

We ask any guests aged 16 and 17, booked to stay at designated YHA hostels unaccompanied by an adult, to provide additional personal data to facilitate their stay. This information, collected prior to arrival and at check-in, includes:

• Emergency contact details for a parent or guardian, to be used in the event of a medical or other emergency such as site evacuation or short notice closure. We would share this information with the emergency services where it was necessary and/or would contact the parent/guardian directly.
• Health and welfare information about the guest, to be used to facilitate their stay. We use this information, provided on the parental form and/or collected at check-in, to create a personal emergency evacuation plan (PEEP) for the guest, as necessary.

Our lawful bases for this processing are:

• Art 6(1) c Legal Obligation, “processing is necessary for compliance with a legal obligation to which the controller is subject”, this includes our common law duty of care to all guests and provisions under the Occupiers’ Liability Act (1957).
• Art 9 (1) a Consent, where we process health data, we rely upon the guest’s consent to provide any information they consider necessary to facilitate their stay. We ask parent/guardians to discuss with their child what health information, if any, will be provided by them on the parental form.

We retain this information during the stay and then archive a copy for six years, before it is securely disposed of. Contact data is held for six months after the departure date, before disposal.
